# Report Template Settings

### Understanding Report Template Settings in IrrigationCheckups.com App

1. **Accessing Report Template Settings**
   * Log in to the IrrigationCheckups.com app.
   * Click on the quick action button for "My Account Settings" or navigate through the support tab in the navigation bar to access "My Account."
   * Click on the "Report Templates" tab in the "My Account" section.
   * <mark style="color:red;">\*\* This tab is only accessible by admin and manager-level users</mark>
2. **Editing Report Templates**
   * Select the template you want to edit from the dropdown.
   * Modify the template settings by adjusting the options and information in each of the sections outlined.
3. **Configuration Options section**
   * This section is for setting general options for the report template and control how the checkup is displayed to users when performing the checkup and how the checkup is converted to a PDF report.
     1. Use Repair Estimates
        * If you want users to be able to enter pricing information within the checkup, check this box.
        * If checked, you can then decide if you want pricing to be manually entered by the user, or to use a saved price book to lookup specific items/services. To use price books, check the 'Use Price Books' checkbox.
        * Also, if using Repair Estimates, you have the option to show the estimate on the PDF report. If un-checked, estimates are only shown within the app.
        * If you do use 'Show Estimate on PDF', you then have the option to enable 'Summary Only', which shows total labor hours, labor price, materials price, tax, and totals instead of each detailed line item.&#x20;
     2. Track Checkup Time
        * This option enables functionality to keep track of the time spend on checkups. When checked, the user assigned to the checkup can click a Start/Pause/Resume/Stop button to keep track of time spent.
        * This information is presented in both the Checkup list pages and in the Reports (company) tables.
     3. Show Assets Checked on PDF
        * The checkup page allows users to mark which assets have been inspected during the checkup process. When checked, this option will show this information on the PDF report.
        * If enabled, the option to Hide Assets Not Checked is available, which will hide any assets not inspected during the checkup on the PDF report. This is helpful on large commercial sites where you might to inspect the entire system on every report.

     4. Show Asset Pics on Report
        * This option will display any saved asset pictures on the PDF report. This is different from the repair pictures that can be captured and displayed on the report.
        * Usage example: a unique report template used on 1st time inspections of a new property; asset images confirm what was inspected.
     5. Record Flow Rates
        * Check this box to enable functionality to allow users to enter each zone's flow rate during the checkup.
        * This option must be enabled to compare programs.
     6. Hide Program Tables on PDF
        * Check this box to remove the controller program tables from the PDF. The information will only be available in the app.
     7. Compare Programs on PDF
        * When checked, New programs are compared to Existing programs on the report PDF.
        * Comparison includes time and estimated gallons used
        * Required the flow rate option to be enabled to estimated water use can be compared.
     8. Hide Zone Details on PDF
        * This option when checked will hide the Zone Details table on the report PDF to save space.
     9. Hide Zero Time Program Entries
        * When recording controller program settings, often times there are programs that only use a small number of the zones, leaving many zones with zero programmed time. This option when checked will only display table entries for zones with non-zero times, saving space in the report PDF.
     10. Split Checkbox & Integer Zone Repair Callouts into Separate Tables
         * When this option is checked, within the PDF report the zone repair callouts table will be split into two tables, one for checkbox fields and one for integer fields.
         * If the templates uses a large number of callouts, this prevents the callout table on the PDF report from being too wide for the page layout.
   * <mark style="color:red;">\*\*Make sure to click the 'Update' button after making changes to the Configuration Options.</mark>
4. **Repair call-out sections**

   * The next sections contain call-outs grouped by system components.
   * The groups are only layout related and determine the order in which each call-out is rendered on the app checkup page.
   * You can Add a new callout by clicking the 'Add' button within the group container.
   * You can Edit a callout by clicking on the callout itself.
   * From the Edit popup, you can Delete the callout by clicking the trashcan icon.
   * Each callout requires a Field Label, optionally a Spanish label, and field type selection.
     * Checkbox field type call-outs present the user a checkbox to use to answer the label question or verify something.
     * The integer field type call-outs allow the user to enter the numerical count of a specific callout.
   * The Priority Repair checkbox allows for automatically setting any Default Product added to the quote for that repair callout. (See [Linking Products to Repair Callouts](/irrigationcheckups-docs/app-guides/customizations/linking-products-to-repair-callouts.md))
   * You can re-arrange the order and group assignment by click-dragging the call-outs on the screen.

   * <mark style="color:red;">\*\*You cannot have duplicate labels within each section.</mark>
5. **System Information Fields section**
   * This section contains call-outs that are general in nature to the irrigation system.
6. **Pump Repair Fields**
   * This section contains call-outs that are specific to pumps and would be used to indicate issues with a specific pump asset defined for a site.
7. **Backflow Repair Fields**
   * This section contains call-outs that are specific to backflows and would be used to indicate issues with a specific backflow asset defined for a site.
8. **Controller Repair Fields**
   * This section contains call-outs that are specific to controllers and would be used to indicate issues with a specific controller asset defined for a site.
9. **Zone Repair Fields**
   * Call-outs in this section are specific to zone related issues
   * <mark style="color:red;">\*\* If you create more than 30 call-outs in this section, when the report PDF is created, the zone repair table will be split into multiple tables to ensure readability.</mark>
10. **Rename Template Button**
    * Rename the template to suit your needs. This label is presented to your users when selecting a report type during checkup creation.
    * Optionally, set a Spanish version of the label.
    * Set the desired Report Title which is displayed at the top of the report PDF.
11. **Clone Template Button**
    * Use this button to copy an existing template into a new version.
    * The function asks if the new template will use Price Book estimates. Choose 'Yes' if you want the product defaults of the existing report template to also be copied over to the new template.
    * The new template will have a temporary label, so be sure to update it.
12. **Active Checkbox**
    1. If you do not want your users to have the option to select the report template, for instance while the template is being modified, uncheck the 'Active' checkbox.
13. **Delete Button**
    1. Removes the template completely from your account.
    2. <mark style="color:red;">\*\* Templates can only be deleted if they have not been used in a checkup yet.</mark>
